This guide will introduce you to the Close platform, the Freemium Space product and their features.

What is Close? Its a platform that enables you to create and manage Virtual Meeting Rooms as a Service to your customers.

Put simply, Close provides video meetings from any device or platform to any device or platform. And no matter what the device or platform, the experience is exactly the same.

This means that you can connect and collaborate from the platform or device you are most familiar with; preserving user experience and reducing adoption times and support requirements.

What is Pexip?

Pexip provides video collaboration across virtually any existing solution. Consisting of a team of talented engineers who were founded by ex Tandberg (sold to Cisco) Engineers, they believed that the old, expensive, hardware video bridges should be API-based, enabling them to be incorporated in any software - this this is to allow high quality, face-to-face meetings, capable of being attended by anyone with a camera enabled device or platform.

The term ‘Freemium’ simply comes from the words Free and Premium - it is a no-cost, full-featured meeting room, designed as a technical evaluation product exclusively for individuals within a technical role.

A Freemium Space is unlike any other evaluation product you are likely to have tested: 

  • It has all of the features that our most advanced meeting rooms have - the ones most test products design out (these are detailed later on in the guide).

  • It will continue to have all the latest capabilities that are released, so that any new features can be tested as and when they go live.

This enables you to test every feature the platform has to offer, so you can measure it against any use case, no matter the size or scale of the challenge you or your customers face.

What’s the catch?

There’s no catch, but as an evaluation product, there are limitations on the number of participants and length of meetings you can have - meetings are limited to 30 minutes and 3 participants* (plenty to test out a variety of use cases!).

Signing up to Freemium couldn’t be easier. Simply enter your email address into the provided field on any Freemium related page and click the ‘Sign up’ button.

 

 

You will then be sent a welcome email that will contain a link to the set up page where you create your Freemium Meeting Space.

The set up form requires you to enter:

  • A suitable Room name for your space - such as boardroom1 or johns-room

  • Host PIN - this will be for your own, personal use to access the space as a Host

  • Guest PIN (optional)

  • First name

  • Last Name

  • Company

  • Phone Number

  • Country

  • Password* (to provide you with secure access to your account and dashboard).

Once you have filled in all the required fields and clicked ‘Create Your Room’, you will be directed to your dashboard. You can then begin to use your Meeting Space.

*When choosing a Password, we recommend using a mixture of Uppercase and Lowercase letters, numbers and symbols to make your password as secure as possible.

Make sure to keep both your password and Host PIN safe.

Secure Login

Each contact uses their email address as their username and will have chosen a secure password to use when their account is created. We strongly recommend you keep your password safe and not share it with anyone.

In order to log in, simply visit the portal and click the ‘log in button’ in the top, right-hand corner of the browser window.

Then, enter your email address and password as shown below and click the ‘Log In’ button.

This will direct you to your personal Dashboard - your dashboard will be similar regardless of the level of access you have.

Management Dashboard

The Close Management Dashboard enables you to easily manage your services and provides a simple, scalable upgrade route for your organisation.

We offer 3 levels of access - suitable from an individual, up to large organisations.

Level 1 - Host Access

Host access simply enables you to host a Virtual Meeting Space and manage your account details, your room details and settings and manage your recordings.

Level 2 - Owner Access

Owner access offers management at a company level. This allows you to manage your companies rooms - you will be able create, issue and self-manage new rooms instantly, making Vmeet easily scalable throughout your organisation. You will also be able to administer your company contacts, as well as have access to operational and managerial reporting.

  • upgrade to a paid Meeting Space from as little as £10 per month.

Level 3 - Reseller Access

Reseller access enables you to create and brand a service for your clients - including the logo, the hero image on the portal, your Meeting Spaces and the colour scheme throughout. You will also be able to create, issue and self-manage new rooms instantly and have access to additional operational and managerial reporting.

The Dashboard  

The Dashboard is comprised of two sets of widgets, the ‘Your Room’ widget and some additional widgets to provide quick access to extra features. All widgets can be moved to the left, right or middle, depending on where you would prefer them to be.

The ‘Your Room’ widget, located on the left-hand side of the dashboard, is where you can quickly find all the important information regarding your room. Here you can find:

  • Your room’s name ( johns-room.VMS ).

  • The Host PIN - required for host access to your room.

  • The Guest PIN - this is optional, and can be used to restrict access to guests, adding an extra level of security.

  • The Voice-only PIN identifier for participants.

  • A 1-Click Start Meeting button, which instantly launches your meeting room in your browser.

  • The Dial Strings unique to your room - these include instructions on how to access your room from a multitude of platforms and devices.

Additional Widgets

Close Global My Account

The ‘Additional Widgets’ available add an extra, quick-fire ability for accessing certain features. Located on the right-hand side, these enable the user to:

  • Quickly invite guests, by simply entering their email address and firing off an invitation straight to them.

  • Add an appointment to your calendar.

  • View a summary of your recent meetings - including date, time, duration and no. of participants.

  • Easy access to the document centre and the most frequently asked questions.

 

Level 1 - Host Access

Host access on the dashboard allows you to manage your account details, your room details and settings and manage your recordings.

My Account

The ‘My Account’ section allows you to view and edit their username/password, in the event of a change of email address or if you like to change your password regularly.

The user is also able to edit their personal contact information, including:

  • Name

  • Phone Number

  • Company

  • Address 

My Rooms  

The ‘My Rooms’ section allows you to view and edit the details of their rooms. They will be able to edit the rooms:

  • Name - the room suffix will remain the same

  • Host PIN - this is required so that the host can securely access the rooms controls

  • Guest PIN - this is an optional feature to increase security, which can be toggled on/off using the checkbox.

  • Voice-only PIN*

*Your Voice-only PIN is not a security feature, but a unique identifier so that participants joining via audio-only can be matched with your room. For this reason, it cannot be changed.

Recordings  

The ‘Recordings’ section is where you can manage your recordings.

When a meeting is recorded, a video file will appear in this section. This file can be used to:

  • Play the recording within the browser window

  • Download the file to your local device.

We recommend downloading your recorded video file as soon as possible, as it will expire after 24 hours.

Level 2 - Owner Access

Owner access offers management at a company level. This allows you to create, issue and self-manage new rooms, administer company contacts, as well as have access to operational and managerial reporting.

Manage Contacts

Close Global, Owner Access - Manage Contacts 

The ‘Manage Contacts’ section provides you with a list of contacts within your company, along with their name, email address, company name, the date they were created and the number of rooms they have assigned to them. Additionally, you are given the ability to: 

  • Create a new contact

  • Add a new room to an existing contact

  • Edit an existing contact

  • Delete an existing contact

 

Create a new Contact

When you click the ‘Create a new Contact’ button, you will be presented with a list of details to enter for your new contact, including:

 

  • First Name

  • Last Name

  • Email Address

  • Mobile phone

  • Can Contact

  • Roles

When a new contact is created, they will be emailed a link in order to choose their password.

Edit an existing Contact

When you click the button to edit a Contact, you will be shown the current details of the contact and given the opportunity to amend those details, including:

 

  • First Name

  • Last Name

  • Email Address

  • Mobile phone

  • Can Contact

  • Roles

  • Password - this can be used to change a users password, should they forget it

 

You are also given the details of any rooms that are hosted by the contact and any additional rooms that are available for them to be linked to as a Host.

Manage Rooms  

The ‘Manage Rooms’ section provides you with a list of the rooms hosted throughout your company, along with the room’s name, company name, product type, product status, the date the room was created and last used and the number of contacts they have assigned to them. Additionally, you are given the ability to:

  • Create a new room

  • Edit an existing room

  • Delete an existing room

Create a new Room  

When you click the ‘Create a new Room’ button, you will be presented with a number of details to enter for the new room, including:

Edit an existing Room  

After clicking the button to edit a room, you will be shown the current details for the room and given the opportunity to amend those details, including:

  • Room Type

  • Room Status

  • Customer Reference


You are also given the details of the contacts that are linked to the room and any additional contacts that are able to be linked to as a Host.

As a Freemium Room has Auto dial-out capabilities, you are also able to add an Automatic Participant on this screen, which will be automatically connected to when a meeting is started in the room.

*Your Voice-only PIN is not a security feature, but a unique identifier so that participants joining via audio-only can be matched with your room. For this reason, it cannot be changed.

View Reports  

The ‘View Reports’ section gives you access to a number of reports. With these, you can view:

Operations Dashboard  

Close Global operations dashboard

The Operations Dashboard provides a real-time view of the meetings that are taking place. The Dashboard provides:

  • An activity summary of the number of ongoing conferences and participants.

  • A summary of recent call quality and the number of media streams and participants; to view an in-depth summary of all recent calls, simply click the link ‘Show recent calls list’.

  • The active conferences currently taking place, in which room, the number of participants and the duration of the meeting so far.

  • The endpoints participants are currently using.

Level 3 - Reseller Access

Reseller Access - Manage Companies

Reseller access enables you to create and brand a service for your clients, as well as creating, issuing and self-managing new rooms. You will also have access to additional operational and managerial reporting.

Manage Companies  

The ‘Manage Companies’ section provides you with a list of the companies you are providing a service to, along with their name, company type, customer status, the date they were created, whether they are branded or not and the number of contacts and rooms they have setup. Additionally, you are given the ability to:

 

  • Create a new company

  • Edit an existing company

  • Manage the company’s contacts

  • Manage the company's rooms

 

Create a new Company

When you click the ‘Create a new Company’ button, will be presented with a number of details to enter for the new company, including:

 

  • Company Name

  • Company Type - this will typically be Consumer

  • Room Suffix - eg. .VMS

  • Salesperson - the individual who made the sale

  • Referrer

  • Customer Reference - enter PO number here

  • Address Details

  • Phone Numbers - select country numbers that will appear on invites

 

Edit an existing Company  

After clicking the button to edit a company, you will be shown the current details for the company and given the opportunity to amend those details, including:

 

  • Company Name

  • Company Type - this will typically be Consumer

  • Room Suffix* - eg. .VMS

  • Company Status - Prospect or Customer

  • Billing Contact

  • Currency

  • Salesperson - the individual who made the sale

  • Referrer

  • Referral Link

  • Customer Reference - enter PO number here

*The Room Suffix is connected to the company’s existing rooms and for this reason, it cannot be changed.

You are also given the opportunity to brand the company’s service, as well as being shown the details of the contacts and rooms that are linked to the company and quick links to be able to create and edit contact and rooms.

 

Company Branding  

Close Global Branded Site

Adding a custom look and feel to a company’s service could not be easier. Simply click the ‘Add Brand’ button within the ‘Edit Company’ page and you will be directed to the branding page.

Here, you will be given a preview of how the colours will be used throughout the portal. When creating and editing the branding, you will be able to choose:


  • Site URL - this is where the service portal will be hosted

  • Brand Tagline - this will be displayed on the homepage of the portal

  • Navigation bar and text colours - both left and top navigation bars

  • Primary and secondary colours - these will change the appearance of various elements throughout the portal such as buttons and banners

  • Firstline Support Number

  • Logo Image - this logo will be displayed in the top-left in the navigation bar

  • Hero Image - this image will be displayed on the portal homepage

  • Favicon - enter your company website URL and this icon will be displayed in tabs at the top of your browser.

 

View Reports  

The Reseller ‘View Reports’ section provides access to additional reports. You can view:

Connect any platform or device

 

With a Vmeet Virtual Meeting Space, you are able to connect from any device or platform to any device or platform. This includes, but is not limited to, devices and platforms such as:

 

  • Video units from Cisco, Polycom and Lifesize.

  • Skype for Business and related hardware, including Surface Hub and Skype Room System.

  • Laptop and Desktop Browsers, such as Google Chrome, Firefox and Microsoft Edge.

  • Mobile Video Applications, including the Pexip and Polycom RealPresence Mobile Apps.

Face-to-face meetings from any device or platform.

 Record

Meeting Spaces have the ability to record a meeting when you connect using a Web Browser - recording requires Host privileges.

To record, you will need to follow these simple steps:

  • Log in to your Vmeet account from within your browser

  • Join a meeting
  • Click the red record button
  • When recording has begun, you will see this symbol.
  • To access your recording, visit your dashboard and view the ‘Recordings’ section in the left-hand navigation menu.

The ‘Recordings’ section is where you can manage your recordings. When a meeting is recorded, you will be able to:

  • Play the recording within the browser window.

  • Download a video file of the recording to your local device.

 

 

We recommend downloading your recorded video file as soon as possible, as they will expire after 24 hours.

Chat

Meeting Spaces provide the ability to chat across platforms when you connect using a Web Browser, Skype for Business or the Desktop and Mobile Applications.

In order to take advantage of the chat feature, you simply have to access your Close Virtual Meeting Space using one of the methods mentioned above and begin typing in the chat box.

Stream

A Meeting Space is capable of streaming your meeting online to either a Webcasting Service or straight to your YouTube channel  - streaming requires you to be logged in.

 

To stream your meeting, you will need to follow these simple steps:

 

  • Login to your Close Global account from within your browser

  • Join your meeting room as a Host - to stream as a guest, please login before you join
  • Click the settings button
  • Select Add Automatic Participant
  • Choose Stream from the left-hand dropdown menu

 

 

  • Enter your Webcasting Services details or your YouTube live-streaming URL into the ‘Dial-out Address’ field

  • Click the ‘Dial Participant’ button
  • When streaming has begun, you will see this symbol.

Dial-out to a Video Unit

With a Meeting Space, you are able to dial-out to legacy video hardware that would not normally be able to connect to other platforms or devices.

To dial-out to a video unit, you will need to follow these simple steps:

  • Login to your Close Global account from within your browser

  • Join your meeting room as a Host - to stream as a guest, please login before you join

 

  • Click the settings button
  • Select Add Automatic Participant
  • Choose your preferred dial-out protocol from the left-hand dropdown menu (SIP or H.323)

 

 

  • Enter the details of the device you wish to dial-out to into the ‘Dial-out Address’ field

  • Click the ‘Dial Participant’ button
  • When the device has been dialled, you will see this symbol.

Auto-dial a Video Unit

 

The Freemium Meeting Space enables you to automatically dial-out to a designated video unit, such as one in your offices boardroom  - streaming requires you to be logged in.

To set up automatic dialling, you will need to follow these simple steps:

  • Login to your Close Global account from within your browser

  • Navigate to the the ‘Manage Rooms’ page
  • Choose the meeting space you want to automatically dial-out and click the button
  • Click the button, under ‘Automatic Participants’

 

 

  • Enter the address/alias of the endpoint

  • Choose the dial-out protocol of the endpoint from the dropdown menu (SIP or H.323)

 

 

  • Enter the optional DTMF sequence in the respective field*

  • Click the ‘Ok’ button

Your endpoint will now be automatically dialled when you join a meeting in the designated Meeting Space.

DTMF Sequence*

There is also the option to add a Dual-tone Multi-frequency (DTMF) sequence to be transmitted to the endpoint.

DTMF allows us to send sequences of numerical digits that will easily traverse circuits designed for voice. A DTMF sequence can include:

  • the digits 0-9

  • * (asterisk)

  • # (hash)

  • , (comma) - a comma represents a 2 second pause (multiple commas can be used if a longer pause is needed).

 

For example, if you need to enter conference number 666 followed by #, pause for six seconds and then supply conference PIN 1234 followed by #, you would enter 666#,,,1234# as your DTMF sequence.

Drag ‘n’ Drop

Drag ‘n’ drop a Video Unit into a Lync or Skype for Business Meeting

With Skype for Business, you are able to easily drag ‘n’ drop a Meeting Space from your contacts to a live meeting. If you have set up your Meeting Space to automatically dial your video unit, then you will be able to connect the two with ease.

 

To add your Meeting Space as a contact:

  • Login to your Skype for Business application

  • Enter your Meeting Space ID into the search field. For example, board-room1.vms@johns.vc
  • Right click on the Meeting Space, select ‘Add to Contacts List’ and choose your preferred list.
  • To add your Meeting Space to a meeting:
  • Begin a Skype for Business meeting

  • Navigate to your Contacts List where your Meeting Space is saved and simply click and drag the ‘contact’ over to your Skype for Business meeting.

You can therefore Drag your Virtual Meeting Room into a Skype for Business meeting and it will auto dial the Cisco video unit.
